To make sure that Back Office Admins clients receive top-quality services, we (the company) have some terms & conditions in place for the mutual benefit of us and our clients. We have tried to make things look simple so that you (our clients) know precisely what they should expect when signing up with Back Office Admins.
Back Office Admins Services
Back Office Admins offer remote virtual assistance services to valued clients globally every month. We always ensure that we understand your requirements fully to assign the right virtual assistant(s) for managing your tasks remotely. Our team members will guide you about our services, and costs, and help you understand our terms of service before you let us be your virtual arm. We create unique profiles for clients in our task management platform that allows them to talk to the assigned virtual assistant for their requests and other information.
Requests & Task Management
Apart from our experienced and talented virtual assistants, our dedicated Client Manager is always up to ensuring client success by always being available for clients’ queries. You can submit tasks the way you wish. You can talk to your virtual assistant to make the best decision. Our virtual assistants send weekly reports to clients containing the working hour and the nature of the work they did. It helps you allocate hours in the best possible way.
Payment for Our Services
We are completely transparent about payment for our services. As we follow a regular subscription (recurring monthly) service, we share invoices and need advance payment each month via credit card. Your credit card information will always remain secure. We will charge the monthly subscription fee automatically unless you have made an alternative payment arrangement with the billing department of Back Office Admins. We charge as per the package you have subscribed to when signing up for our services. However, extra working hours in the last cycle as well as taxes would be charged (if applicable).
If we cannot process a client’s credit card (for any reason) on their billing due date, we will try to communicate it to the client for an alternative payment method. If we are unable to process the client’s payment within two working days, the services of the client will be paused temporarily until we receive the payment.
If Back Office Admins did not receive the payment within thirty days of the billing date, Back Office Admins will, unluckily, drive the client to collections. Back Office Admins never like to do this, so please help us evade this unfortunate situation.
Plan Increase & Decrease
In business, things change sometimes for different reasons. Therefore, we offer flexibility to our clients in our plans by giving them the facility to decrease or increase their monthly plans. Therefore, clients can increase their plans easily whenever they want. All you need is to inform your VA or Client Manager about this. You can decrease your plan by informing the Client Manager or VA 7 working days before the billing date.
Expenses and Overages
If you don’t want to increase your plan and just want to add some extra hours to your existing plan, you can simply go over your prepaid hours. We will bill the extra hours in the next invoice. You can also ask your VA for making purchases for you via email. Back Office Admins notify their clients when the signed-up hours of the client are near to the end. However, the client is responsible for managing the assigned time of his VA and for paying extra working hours. You can get in touch with your Client Manager, anytime, to know how you can manage your virtual assistant properly.
Confidentiality
For Back Office Admins, client information is extremely valuable. We never use clients’ materials for projects and tasks other than theirs. We are happy to sign Non-Disclosure Agreements with clients if they wish. The same rule applies to our clients in reverse. Materials that Back Office Admins or VAs provides shouldn’t be utilized for purposes other than satisfying Back Office Admins’ contract with clients.
Canceling Client Account
We know that a VA is not for everyone all the time. We would be extremely sad if a client leaves, but Back Office Admins will always be completely transparent about everything. If a client wants to leave, we require them to send a notice 30 days prior to the coming billing date via email to the Client Manager. It helps clients close their accounts gradually with us.
If a client wants us to close their account during the first service month, we would not impose any penalty to do so. However, we will not prorate client subscriptions or refund unused working hours. If a client cancels, he agrees that he is still obliged for unpaid payments, including thirty days’ notice, remaining overage fees, or/and expenses incurred.
Back Office Admins have the right for refusing services to Back Office Admins clients for whatever reason, anytime, without the refund claim. We rarely end relationships with our valued clients. However, we may end our relationship with clients for reasons, such as abusively treating a VA or other team members.
Building a Remote Team
At some point in time, our team may determine that extra VAs is required for a client’s account. We work with our clients to ensure that we assign the right, qualified virtual assistant(s) for completing clients’ projects.
Our virtual assistants are highly qualified and committed to their work. However, they might go on vacation or become ill sometimes. In such rare situations, Back Office Admins will assign replacement virtual assistant(s) with equal qualifications and talent to offer uninterrupted services.
Guarantee
There is a complete process that our team of virtual assistants goes through. This process includes interviews, skill testing, and training. But, we are also human and can make mistakes. Back Office Admins provide no warranty on the projects, tasks, or information a VA completes for a client. We do everything to ensure that we assign the most skilled and effective people for client needs. We cannot be held liable, morally or legally, if we provide you with wrong results or information.
